1. Who we are
ProcMar is a CRM and procurement platform for the marine industry, provided by AppCoders ("we", "us", "our"). This Privacy Policy explains what personal information we handle when you use the procmar.com website, the web portal at app.procmar.net, the ProcMar mobile apps and our connectors (the "Service"), and how we protect it.
For account and website information, we decide how it is used. For the business records our customers keep in ProcMar ("Customer Data"), the customer company decides how it is used and we process it on their behalf. Contact: [email protected].
2. Information we collect
Account and company information
- Name, email address, phone number, position and password (stored only in hashed form) of each User.
- Company details entered at signup or in Settings, such as company name, address, country, tax ID, website, logo, bank details, base currency and email sending settings.
Customer Data
- Records a customer adds to ProcMar, for example clients and their contacts, vessels, suppliers, RFQs, quotations, orders, invoices, payments, products, photos, documents, call notes and tasks.
- Marketing contacts and campaign data, such as email addresses, tags, and delivery, open, bounce and unsubscribe events.
Usage and device information
- IP address, browser or app type, device and operating system, sign-in times, the pages and features used, and server and error logs.
- Device and app version details you send with a Help & Support message.
Communications
- Messages you send us through Help & Support, by email, or through the contact form on our website (name, company, email, phone and message).
3. How we use information
- To provide the Service: sign-in, showing your data, generating documents and PDFs, and sending the emails you ask us to send.
- To manage subscriptions: trials, renewals, reminders and access.
- To keep the Service secure: preventing abuse, investigating problems and enforcing our Terms of Use.
- To provide support and reply to your messages.
- To improve the Service, using usage information in aggregate.
- To meet legal, tax and accounting obligations.
We do not sell personal information, and we do not use Customer Data to advertise to anyone.
4. Legal bases
Where data protection law requires a legal basis, we rely on: performing our contract with the customer; our legitimate interests in running, securing and improving the Service; compliance with legal obligations; and consent where we ask for it.
5. Customer Data and our role
Each customer controls its own Customer Data and is responsible for collecting it lawfully, including any consent needed to send marketing emails and honouring opt-outs. We process Customer Data only to provide the Service and on the customer's instructions. If your information is held by one of our customers (for example, you are their client, supplier or marketing contact), please contact that company first. We will help them respond to your request.
6. Service providers and sharing
We share information only with providers that help us run the Service, under appropriate confidentiality and data protection terms:
- Hosting: the servers that run the Service and its database.
- Cloudflare: network delivery and protection, storage of product photos and files, and the bot check on signup.
- Twilio SendGrid: delivery of ProcMar system emails, such as sign-up codes, password resets and renewal reminders. Emails you send from ProcMar go through the SMTP or SendGrid account you configure.
- Tiny Technologies: the TinyMCE text editor that loads in the portal when you edit templates or campaigns.
- Google Fonts and Web3Forms: fonts on our website, and delivery of the website contact form.
- Services you connect: if you connect an AI assistant or other tool to ProcMar, it receives the data you ask it to access, under its own privacy terms.
We may also disclose information when the law requires it, to protect rights and safety, or as part of a merger or sale of the business, in which case this policy will continue to apply.
7. International transfers
Our providers may process information in countries other than yours. Where we transfer personal information across borders, we take steps to protect it as required by applicable law.
8. How long we keep information
- Account and Customer Data are kept while the customer's account exists. Data is not deleted when a subscription lapses or access is paused.
- When a customer asks us to close the account, we delete its data within a reasonable time, except records we must keep by law.
- Server and security logs are kept for a limited period, then deleted.

9. Security
We use encrypted connections (HTTPS), store passwords only in hashed form, separate each company's data, control access by user permissions, and use time-limited links for document PDFs. No system is completely secure, so please use a strong password and keep it private.
10. Cookies and local storage
The web portal stores your sign-in session in your browser's local storage so you stay signed in. Our website does not use advertising or tracking cookies. Our network provider may set strictly necessary cookies for security. Loading our website fonts sends your IP address to Google Fonts.
11. Mobile app permissions
The ProcMar app asks for camera and photo library access only so you can take or attach product photos and save documents. You can change these permissions at any time in your device settings. The app does not track your location.
12. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal information, and to object to or restrict some processing. To use these rights, contact [email protected]. Users can update their name and password in the Service; company administrators can update company details and remove Users. You may also complain to your local data protection authority.
13. Children
The Service is for businesses and is not intended for anyone under 18. We do not knowingly collect information from children.
14. Changes to this policy
We may update this Privacy Policy. The date at the top shows the latest version. For significant changes we will notify the company email on file or show a notice in the Service.
